Position Available: Program Assistant

Temporary/Part-Time: 16 hrs a week

Position Summary

This critical position requires sensitivity, patience, a basic understanding of community resources and the ability to assist in problem solving. Typically the first contact for an on-site consumer, this individual must represent Centro Latino with compassion and professionalism. The individual must be proficient in both English as well as Spanish and demonstrate strong verbal and written communication skills to a diverse professional and clinical population as well as the general public. Experience in an office setting and with the operation of multiple-line phone systems as well as copy and fax machines is essential.

Essential Job Functions

  1. Presents as professional and courteous at all times, whether over the phone or in person.
  2. Maintains a master calendar of scheduled meetings and events for all common meeting areas.
  3. Maintains strict confidentiality of all client information
  4. Monitors inventory and works with Finance Director to assure availability of all necessary office supplies
  5. Maintains a clean, efficient work environment
  6. Track necessary demographic information for contract reporting
  7. Supports administration and assists with staff appointment calendars.
  8. Records phone messages accurately and relays information in a timely manor to the appropriate recipient.
  9. Maintains a strong working knowledge of appropriate databases.
  10. Greets & receives guests/or clients, directing them to appropriate destination.

Working Conditions

  1. Work is performed in an office setting.
  2. Work is primarily performed while sitting and standing.

Qualifications

  1. Bilingual (English/Spanish)
  2. Must have a high school diploma (GED accepted), Associates degree preferred and strongly encouraged.
  3. Must have experience with Microsoft Office programs
  4. Must be able to remain calm and respectful when dealing with challenging situations
  5. Must be able to priority tasks and possess exceptional organizational skills.
  6. Must have reliable transportation, a valid Washington State Driver’s License and Auto insurance as required by law.
  7. Must work as an integral part of a larger team, promoting a positive work environment
